Operations Coordinator

Reports to: Director of Operations
Full-time.

Summary
The Operations Coordinator supports the Director of Operations in overseeing the day-to-day operations and logistics of the organization, ensuring efficient and effective execution of events, projects, and administrative tasks. This role serves as a key liaison between various departments and stakeholders to facilitate seamless communication and coordination.

Key Responsibilities

  • Event Logistics: Oversee all onsite event logistics, including room setup, AV and IT needs, kitchen coordination, signage, custodial support, building access, and parking. Ensure smooth execution of events with attendance of 100+ persons.
  • Event Planning and Coordination: Work closely with the wedding coordinator, administrative assistants, and Director of Operations to plan and coordinate logistics for weddings, funerals, and church events.
  • Building Usage and Calendar Management: Develop and manage the process for scheduling, evaluating, and approving building usage, working closely with the Director of Operations to maintain the church event calendar.
  • Front Desk Coordination: Coordinate volunteers, including scheduling, evaluating, and ensuring a high degree of coverage, consistency, and confidentiality. Develop best practices for operations team.
  • Communication and Collaboration: Work with the Communications team to ensure smooth communication of events and activities within the church. Collaborate with the Database Administrator to build out the events process in the Ministry Platform.
  • Facilities Liaison: Work with the Facilities contractor, assisting in the coordination of maintenance and janitorial requests and special projects.
  • IT Liaison: Work with the IT contractor, assisting in the coordination of support requests, purchase of equipment, and special projects.
  • Budget: Review monthly financial reports for Operations expenses. Assist in the preparation of the annual Operations budget.
  • Process Improvement: Evaluate and implement process improvement initiatives to enhance efficiency and effectiveness of operations.

Qualifications

  • At least two years of experience in an operations or administrative role
  • Demonstrated organizational and project management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in using Microsoft Office and database software
  • Bachelor’s degree preferred
  • Proven ability to work effectively in a fast-paced, dynamic environment
  • Demonstrated problem-solving and critical thinking skills

Youth Ministry High School Women’s Coordinator

Reports to: Director of Youth and College Ministry
Full-time.

Summary
The Youth Ministry High School Women’s Coordinator at Fourth Presbyterian Church is a year-round, full-time, salaried position that serves the church within the Youth Department. Under the leadership and direction of the Director of Youth and College Ministry, and working closely with the Youth Committee and entire Youth Team, this position helps oversee and serve the High School Ministry. Applicants should be college graduates or the equivalent age with at least some youth ministry experience (volunteer, summer, part-time, or full-time).

Duties and Responsibilities
The primary duty and responsibility of the High School Women’s Coordinator is to be a disciple of Jesus and witness to God’s work in your life by serving Fourth’s Youth Ministry, through which you encourage students to experience an arresting relationship with Jesus and disciple them in their Christian faith. This includes, but is not limited to, the following:

  • Leading, teaching, and shepherding students within the High School Ministry (with a particular focus on Fourth’s female high school students).
  • Supporting the High School Ministry’s efforts to reach unchurched students and assisting in equipping Fourth’s students to do the same.
  • Assisting with logistics of Sunday School, Bible studies, special events, and retreats, including trip planning and coordination.
  • Maintaining the High School Ministry calendar to coordinate workflow and meetings.
  • Recruiting, training, and supervising volunteers (with a particular focus on Fourth’s female high school volunteer teachers and leaders).
  • Interacting with parents, visitors, and other persons who express interest in or have questions about the High School Ministry.

Qualifications and Abilities

  • Growing and active relationship with the Lord Jesus Christ
  • Capacity and desire to work as a part of the Youth Ministry team, with a heart, passion, and vision for the High School Ministry
  • Ability to effectively work with Fourth staff, youth staff, youth committee, and parents
  • Ability to effectively manage volunteers, part-time staff, and Summer Staff
  • Strong and effective analytical and problem-solving skills
  • Strong and effective verbal, written, and presentation skills
  • Strong and effective organizational skills, with the ability to prioritize tasks and responsibilities
  • Familiarity with general office procedures, either through formal training or equivalent experience
  • Ability to operate standard office equipment and computer software programs
  • Member (or willing to become a member) of Fourth Presbyterian Church

Church Management Database Assistant

Reports to: Director of Communications
Role: Operations/Communications
Part time.

Summary
The Church Management Database Assistant provides database and record keeping support for the day-to-day use of Ministry Platform, the Church Management Software adopted by Fourth Church. The position is responsible for administrative and clerical duties including data entry and analysis, training, and supporting ongoing projects.

Job Responsibilities with Percentage of Time

Database and Record Keeping Support: 35%

  • Data entry including but not limited to member, guest, visitor, pastor, and missionary information, including but not limited to contact, membership, participation, and engagement data.
  • Set up event registrations and promo codes for ministries.

Projects: 30%

  • Work with the Database Administrator to assist in implementing MP features and capabilities not currently in use.
  • Collaborate with the Database Administrator and other staff members to develop new protocols and processes to support ministry

Training Assistance: 20%

  • Support staff with on-going training and problem solving for Ministry Platform.
  • Meet with team members as needed to assist them with data set-up, complex registration forms, etc.
  • Assist members and guests who need help accessing and using MP widgets.

Data Reporting and Analysis: 15%

  • Create reports and provide data analysis for staff as needed.
  • Assist the Database Administrator in data analysis for Session, pastors, staff, and lay leaders.

Qualifications

  • The successful candidate will be:
  • Highly detail oriented and organized
  • A process follower
  • A champion of the system (i.e., Ministry Platform and integrated platforms)
  • Comfortable having multiple projects in process at any given time

Technical

The successful candidate will have:

  • Intermediate level ​​Microsoft SQL Server (MSSQL) skills (or take training on the job)
  • Demonstrated experience with database management
  • Demonstrated experience with data analysis and reporting
  • Proficiency in Google Workspace and Microsoft 365
  • Excellent written and oral communication skills
